3. How we collect personal data
We may collect personal data:
directly from you when you complete a form, contact us, request a demonstration or quotation, create an account, enter into a contract, attend an event or communicate with us;
from your employer or organisation where it names you as a contact;

through the use of our software, connected devices or services, where this is covered by the relevant customer agreement and privacy information.
Where Parilon processes fire-door, building, device or asset data on behalf of a customer, Parilon may act as a data processor rather than the data controller. The relevant customer remains responsible for deciding why and how personal data within that service is processed. Those arrangements will be governed by the applicable customer contract and data-processing terms.
4. How and why we use personal data
We only process personal data where we have a lawful basis to do so. We may use your personal data for the following purposes:

Providing support and training
We use your information to provide technical support, commissioning assistance, training and customer service. We do this to perform a contract or in pursuit of our legitimate interests.
Protecting our website, platforms and services
We use relevant information to maintain the security, reliability and performance of our website, platforms and connected services. We do this to comply with legal obligations and pursue our legitimate interests.

We may analyse how our website and services are used so we can improve their performance, content and user experience. We rely on consent where this is required for cookies and on legitimate interests where permitted by law.

We may send relevant business-to-business information about Parilon products, services, events and opportunities. We rely on consent where required and on legitimate interests where permitted by law.

Where we rely on legitimate interests, we consider the impact on your privacy and use personal data only where our interests are not overridden by your rights and freedoms.
5. Marketing communications
We may contact relevant business contacts about Parilon products, services, events, insights and opportunities where we have consent or another lawful basis to do so.
You can stop receiving marketing communications at any time by:
using the unsubscribe option in a marketing email; or
emailing info@parilon.co.uk.
Stopping marketing communications will not prevent us from sending essential service, account, contractual or safety-related messages.
6. Sharing personal data
We may share personal data, where necessary, with:
companies providing website hosting, cloud infrastructure, email, customer relationship management, analytics, communications, cybersecurity, software support, payment or accountancy services;

a buyer, investor, lender or adviser in connection with a proposed or completed business sale, investment, restructuring or transfer.
Our providers may include services supplied by organisations such as Microsoft, LinkedIn, Meta, Instagram, WhatsApp and other platforms Parilon uses from time to time. The exact services and cookies used on the website should be reflected in the website’s cookie-management tool.
We require service providers handling personal data for us to protect it and use it only for the agreed purpose.
7. International transfers
Some service providers may process personal data outside the United Kingdom. Where this happens, we use appropriate safeguards required by UK data protection law, such as adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses or another lawful transfer mechanism.
You can contact us if you would like further information about the safeguards applying to a particular transfer.
8. Data retention
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including legal, regulatory, accounting, tax, insurance and reporting requirements.
Typical retention periods are:
unsuccessful or general enquiries: normally up to 24 months after the last meaningful contact;
customer, supplier, partner, contract, invoice and transaction records: normally six years after the end of the relevant financial year or business relationship;
account and service information: for the life of the account or contract and an appropriate period afterwards;
marketing information: until you opt out, the information is no longer accurate, or we determine there is no continuing lawful reason to retain it;
cookie information: for the lifetime stated in the website’s cookie-management tool; and
complaints, disputes and legal claims: for as long as necessary to resolve the matter and meet applicable limitation periods.
We may retain information for longer where required by law, a regulator, an insurer or an actual or anticipated legal claim. We may also anonymise information so it can no longer identify an individual, in which case it may be used for statistical or analytical purposes.
9. Data security
We use appropriate technical and organisational measures to protect personal data against accidental or unlawful loss, misuse, alteration, disclosure or access.
Access is limited to people and service providers who have a genuine business need to use the information. They are required to handle it securely and, where appropriate, under contractual confidentiality and data-protection obligations.
We maintain procedures for responding to suspected personal-data breaches and will notify affected individuals and the Information Commissioner’s Office where legally required.
10. Your data-protection rights
Depending on the circumstances, you may have the right to:
ask for confirmation that we process your personal data and request a copy;
ask us to correct inaccurate or incomplete personal data;
ask us to delete personal data where there is no lawful reason to retain it;
ask us to restrict how personal data is used;
object to processing based on legitimate interests;
object at any time to the use of personal data for direct marketing;
receive personal data you provided in a commonly used, machine-readable format, where the right to data portability applies;
withdraw consent at any time where processing relies on consent; and
ask not to be subject to a decision based solely on automated processing where it produces legal or similarly significant effects.
These rights are not absolute and exemptions may apply. We may ask for information to verify your identity before acting on a request. We will normally respond within one month, although the law allows longer in certain circumstances.
To exercise a right, email info@parilon.co.uk.
